Privacy Policy — AA&I Lead Monitor

AA&I Lead Monitor is an internal tool built for Arkansas Accident & Injury (AA&I) staff. It is not a public application and is not offered to the general public.

What this application accesses

This application requests read-only access to a single Gmail inbox belonging to AA&I staff, using Google's gmail.readonly scope. It reads incoming emails from one specific, known sender that delivers accident report data used for AA&I's lead-intake process. It does not send email, does not modify or delete any email, and does not access any other Google account data (contacts, calendar, drive, etc.).

How the data is used

Information extracted from these specific emails (names, contact numbers, addresses, and accident report details already contained in the source emails) is stored in a private database accessible only to authorized AA&I staff. This data is used solely to help AA&I staff contact and assist accident victims who may be eligible for medical referral services. It is not sold, shared with third parties, or used for advertising.

Data retention

Records with no client activity are periodically archived. Data is retained only as long as reasonably necessary for AA&I's internal lead-management purposes.

Access

Only AA&I staff members with authorized credentials can access the stored data. No external parties are given access.
